Ok, so, I have a suggestion for Savannah if that is the location chosen. Savannah is very close to the beach. Tybee Island is only about 10 miles east of Savannah.
I have suggested it in the past and am going to suggest it again. It would be more cost effective to rent a house rather than get several hotel rooms. The bonuses are, of course, cost, you have a built in area to play games/eat/gather, the benefit of this location is the beach is a short walk away. There are also rentals in Savannah itself. And that time of the year is considered "off season" so the prices are lower.
With that in mind, using a random week in October, here are some samples from Flip Key. There are way more listings on Home Away and VRBO of houses with more bedrooms/bathrooms (and much more information on the houses), but for some reason the firewall at work will not let me pull them up (can post them from home later) so I will just post these two examples:

We have rented houses in the past and it was great to have one location. We had a place to eat together, play games. And it was much more cost effective. For example, I think my share of the QC hotel was around $700+ (divided by 3 and stayed an extra night). This would be more than 1/2 that price.
Just a thought and something to ponder when we decide on the location.
Love, love, love number 1 - 7A 6th Street. Really pretty, just down the road from the beach. About 3 blocks away is a restaurant. Some blocks the other way is a grocery store that delivers. The price to rent would be $255.00 (actually a little less, but I rounded up to the $5 amount). Now, this is for one week, not extended weekend, like we usually do. I did my figuring with 16 people. I know most of us don’t want to share a bed. There are four king beds and we have three couples (Kim and Brian, Dave and Susana and Estelle and Mike) and they would have 3 of the four king beds. I thought 2 people would share the other king bed. There are two double beds and I did figuring for a single person in those. The rest are twin beds. It says it holds 24. Not sure how. Plus, it has a Murphy bed and a couple of sofa beds. I think that is where some of the beds are.

Just suggestions. We really had an issue in QC with a meeting place and ended up in the lobby. We can eat breakfast together (I don't mind cooking!) and maybe lunch or dinner, depending (of course, we have to try the local cuisine!). Those wanting beach time will be happy and downtown is a short distance away. And it is easy to do. You PayPal me (or if someone else wants to do it) the money from credit card or personal account, I/they get the total and send it to the property manager. Easy, peasy. Even if we only have 10 people, it's still cost effective.
I don't mind doing twin/bunk beds/couch.

I liked all the savannah houses especially the first one. I also liked Tybee3 and 5. I was thinking that we should maybe rent say 3 cars for the group. If some are bringing their own cars, that’s good. I was thinking of money for gas, groceries, booze, and the rental of the car and place be added to the total. I took savannah house number one and did a 14 people count and for 4 days of staying got between 400 and 450 for each person. It’s do-able. 😀 I can also help out with cooking. I do think we should look at houses that the only beds shared are those of the married couples. So houses with only queen or double beds without any twin beds are out. Count each queen bed as a single bed. One way to have no headaches about rooming assignments.

I have no real objection to a house as long as there's room for everyone. I don't want to share a bed (I love you guys, but I'm an introvert and there's only so much I can take). I'm okay with a single bed but no sofa bed. NO SOFA BED
The problem as I see it is that the number of our group is hard to predict and tends to flex right up till the date of the event.
I would also prefer somewhere we can cook as I now eat a way that is a lot easier if I can make my own food. I can eat out but it's not always easy. Breakfast and lunch at least being homemade will make my life easier. Alternatively, a hotel room with a fridge and/or microwave will work. (Incidentally, I have learned to cook in the last year or so and am happy to make stuff for everyone!)

I also have no objection to a house. I prefer to have my own bed as well but have shared in the past, but prefer not to since I sleep better that way.
As far as cooking is concerned, I do enough all year long and like to eat out when on vacation. But with a large group, I am sure not everyone needs to eat in and it will work out.

We rented a house in Rhode Island and it was nice to be able to have a central location instead of several hotel rooms -- the house had a huge dining table and we played games, ate and really enjoyed being in one location. So I am a big advocate of this option! People volunteered to cook different meals, we went out to eat but always ended up back at the rental for games/cocktails. I also agree with Gaby, there will be groups that want to go out to eat, eat in, drink in, go to a pub, etc. There may be ones that would want to sit on the beach instead of visiting a landmark. That can be worked out. Now, if Savannah is chosen (and again, am using it as an example), there are other locations to stay near a beach and still be close to Savannah besides Tybee Island. If you go a little northeast just over the GA/SC border (Savannah is just south of SC border on 95), Hilton Head is a more inexpensive alternative because the market is more saturated with rentals. Here are some that I found (using the formula that the king beds are for 1 couple or 2 single users who don't mind sharing a king, the rest (queen/double/twin) are single users): Hilton Head 1 <-- 7 bedrooms/5 bath (3 kings and 8 double beds = sleeps 14) = $450 a night Hilton Head 2 <-- 7 bedrooms/5 bath (4 kings and 6 double beds = sleeps 14) = $540 a night Hilton Head 3 <-- 7 bedrooms/6.5 bath (4 king, 2 full, 4 twin beds = sleeps 14) = $526 a night Hilton Head 4 <-- 7 bedroom/5 bath (4 king and 6 doubles = sleeps 14) = $540 a night Hilton Head 5 <-- 7 bedroom/5.5 bath (4 kings, 3 queen, 3 twin = sleeps 14 = $550 a night If we had a higher number of attendees, this might be an option since it sleeps almost 20 on Wilmington Island (just south of Savannah): Wilmington Island <-- 11 bedroom/5 bath (17 queen, 1 twin, futon - sleeps 19) = $1,620 a night If the moot happens in the Southeast, I would definitely drive and would be happy to do airport runs. I could assume Pam and SueAnn would also drive so that would be 3 cars minimum. Mine fits 5 with luggage, 7 w/o luggage. People wouldn't necessarily need to rent cars unless they wanted to.

I get "page unavailable" for both those links, but I'm good with the idea of renting a house. The only caveat is that we need to make sure there are food options nearby for folks who might not want to cook and/or enjoy exploring local cuisine as part of a vacation.September it typically better for me than October, but I can do it if I have enough advance notice.

Hmm not sure what happened on those links. Will try and repost the Tybee Island ones (with information next to it) but am not sure if they are same ones. Will have to check the BBCode on my original post since those were posted from Home Away. But if I remember correctly, they are these two:

And I hear you on the local cuisine! I don't want to have to cook every meal either, but I was thinking more about breakfasts and possibly late night nibbles at the very least! Maybe a lunch or dinner here and there, depending.

You all who know me, know that I am an obsessive planner. I saw a Zillow commercial and went to see if I could find some rental places there. Not really. So, I put in min amount for maximum rooms and found this. It is literally booked for months. It freaking has everything. Take a look. Love love love, but yes -- it must be the IT property because it is totally booked through mid-October. The price is certainly right and I love the view. But I am not sure we're ready to commit since we're still in the discussion stage?
I will say -- even if we only have 10 attendees -- it could be about $50-70 a night still, depending.
In any event, I will say the end of October will now not work for me as we just got put on a three week trial docket and I will not be able to take vacation (I mean, I could take vacation but my boss solely relies on me for trial prep). So if that is the time that is decided, unfortunately I sadly might have to bow out of the moot. Not what I wanted and certainly I would love to call up the judge and ask to move it a few weeks later but alas it is out of my control.

If we choose Savannah, I'll actually be closer to the city. I'm tentatively set to work at a location near Central Florida from May to November. I'll just be a little bit north of you Bucky! I'm hoping it won't be an issue getting a few days off. I'm covering for someone else and he doesn't return to November 1. I should have my weekends free (at least at this point I do.) I'll have a car available.
If however you want Key West or St Augustine again, I can work on that too.
Other places in Florida too, Ferdinand Beach on Amelia Island, Destin in the panhandle, etc.

Welcome to Central Florida Sue! Where will you be at? And good luck with the new job.
I did do a search of Amelia Island/Fernandina Beach and can post choices. Those are a little north of Jacksonville.
I also found this in Saint Simons Island GA - which mid-way is between Jacksonville and Savannah. They call it the Compound because it is three houses together:

I agree that we are not to the point of being able to commit to a place, has everyone agreed to have the moot in Savannah? I am not on other places (Facebook, etc.) so I may have missed it. If that hasn't happened, perhaps we should work on that first. Just saying. ;)
